The coach portal uses authenticated team access, restricted compliance review, minimum collection, and a defined deletion deadline for sensitive youth documents.
Validated uploads
Uploads are limited to PDF, JPG, and PNG files under 10 MB. File names are sanitized and files are stored outside the public website.
Minimum collection
The portal requests only information required for eligibility, signed waivers, registration, safety, and tournament communication. Teams are not asked to upload certificates of insurance.
Retention deadline
Sensitive eligibility files expire 30 days after the final Next Nine event weekend and are removed from secure storage through the retention sweep.
Parent notice
Parents or legal guardians will receive the purpose, consent language, contact route, and deletion-request process before player information is submitted.
Deletion requests
A coach or parent may request early deletion through the contact page. The authenticated coach can also remove an unapproved file directly from the team portal.
